1. Getting Started
a. Search for Room Rental
- On Keywacanada.com, enter your destination city name or school name in the search bar
- Click on a property photo to open it. More property photos, room description and information, list of all included amenities will be shown
- If you are already sign-up and have an account with Keywacanada, you can start communication with the landlord by clicking CONTACT LANDLORD
- If you are already sign-up and have an account with Keywacanada, you can make an offer to lease of the property by clicking SEND OFFER
- Click all services that you would like to receive when you arrive in Canada
- After you fill out contact information and date of arrival, click SEND REQUEST and Keywacanada will contact you within 1-2 business days to start communication and prepare Keywacanada white-glove service for your arrival
2. Account Creation
- To sign up with Keywacanada, you only need a valid email
- Sign up here
- You will receive an email in your mailbox asking you to activate your account. Click the link in your email to activate your account
- Login and go to My Profile page, fill out the basic information
3. Keywacanada Verifications
- Keywacanada grants Verified Landlord ID badge when the landlord ID has been authenticated
- Keywacanada grants Verified Property Ownership badge when the name of the landlord ID is matched with government issued property ownership documentation (Property Tax Bill)
- Keywacanada grants Verified Property Photo badge when the photos were taken by a third party vested by Keywacanada
4. Contact Landlord
- When you find the property listing you like, click CONTACT LANDLORD to start communication with landlord
- Landlord will normally respond to your message within 1-2 days. Keywacanada will send reminding message to landlord every 24 hours for the next 5 days until landlord response to your message. After 5 days, your request to contact the landlord will expire. You will have to make another request
- The landlord can accept your request, and you are free to communicate with the landlord via Keywacanada messaging system
- The landlord might choose to decline if the landlord wishes not to communicate with you or the property has been leased conditional to someone else
- If you decided to have your agentto help you, you could link or un-link your agent anytime during the process prior signing the Rental Agreement. Once you link to your agent, you agree to give your agent/agency to work with Keywacanada on your behalf and you can only view the progress. You will sign the Rental Agreement and make payments directly to Keywacanada. DO NOT send money to Keywacanada through your agent as Keywacanada will only send refund to the same account and method that Keywacanada received the money
5. Offer to Lease
- You can send an Offer to Lease by clicking SEND OFFER
- You can send Offer to Lease to more than one property
- You will receive a CANCEL status on your Offer to Lease if that property has been leased to someone else
- You will receive an ACCEPT status if the landlord chooses to lease to you. You will receive further instruction to complete a Rental Agreement
6. Payment and Fee
- Keywacanada placement fee support us to operate the Keywacanada platform. This fee is paid when we have connected you to the landlord and a Rental Agreement has been completed
- Guarantee Payment charge is not a Keywacanada fee. This fund includes the security deposit which to be used for last month rent and the balance is for the rent for the term of the Rental Agreement. This fund will be held in Keywacanada’s trust account and Keywacanada only pay to the landlord on your behalf after you have moved in and for every month you stay at your rental property
- Payment Processing Fee is charged by Keywacanada’s payment partners to process payment by Visa, Mastercard, Paypal, Financial Institution
7. Your Benefit
- Paying and communicating through Keywacanada helps ensure that you are protected under our Terms and Conditions, Tenant/Landlord Rental Agreement, Termination and Refund policy
- In Room Rental, you know that you are dealing with authentic owner of the rental property. This will minimize you to be a victim of a scam or fraudulent activity
- In Settlement Services, Keywacanada produces a all-in-one solution to help with every aspect of the settlement process and gives students and their parents, workers a peace of mind when arrive in Canada
B
LANDLORD
1. Getting Started
- To sign up with Keywacanada, you only need a valid email
- Sign up here
- You will receive an email in your mailbox asking you to activate your account. Click the link in your email to activate your account
- Login and go to My Profile page, fill out the basic information
2. List My Rental Property
- Fill out all the information about your rental property
- You must complete 3 Verifications before you can ACTIVE your rental listing
- Verified Landlord ID: you need to authenticate your government issued photo ID (Driver License, Passport, Citizenship Card, Provincial ID) by notarize it. You can do it in person or by video through NotaryPro https://www.notarypro.ca/?type=individual. You need to upload your notarized ID to Keywacanada
- Verified Property Ownership: you need to upload the most recent Property Tax Bill. Ensure that the owner’s name on the Property Tax Bill is matched with your ID
- Verified Property Photo: you need to upload your rental property photos taken by a third-party professional photographer. Here is the list of third-party professional photographers have been vested by Keywacanada:Ontario

3. Contact Request from Tenant
- You will receive request from potential tenant in your Keywacanada messages system to communicate with the tenant
- You can DECLINE the request if you choose not to communicate or your property has been leased
- If you ACCEPT the request from the tenant, you can communicate to the tenant using Keywacanada’s messaging system
4. Offer to Lease
- You will receive Offer to Lease in your Keywacanada messages system
- You can DECLINE the Offer to Lease
- You can ACCEPT the Offer to Lease, and all communication with other tenant about this rental listing will automatically CANCEL
- Keywacanada will create a Rental Agreement with your provided information for you and your tenant to sign
5. Payment and Fee
- Keywacanada will notify you when we received in full the fund required in accordance with the Rental Agreement
- The tenant’s fund is held in Keywacanada’s trust account
- You will receive your payment in accordance with the Rental Agreement from Keywacanada once the tenant has moved in and thereafter any month the tenant stays in your rental property
6. Your Benefit
- With Guarantee Payment program where Keywacanada hold the fund on behalf of the tenant, you are guaranteed to receive your rental payment for the duration stated in the Rental Agreement. This guaranteed payment will cease at the end of the original terms of Rental Agreement
- You, as landlord in Canada, do not pay any realtor commission
- You can safely advertise the authenticity of your rental property when you list your property in Keywacanada platform
